First Time Setup

1. Create some service assignments

Service Assignments answer "where" or "who" a tool is assigned. By default there are three, IMPORT, STOCK, and PARTS. You'll want to add your own service assignments to suit your needs, typically starting with Stockrooms. Tools are checked in when they're in a stockroom. All other service assignments will identify tools as checked out. Import is a catchall for tools when the import function is used and an existing service assignment cannot be found.


In the dropdown, there are five options, and with the exception of Stockroom, they all function the same. The dropdown is used to select the service assignment type, the text fields are descriptive fields for the SA's details. Job Number is the shortname field, as that's how many project management tools and other software identify a job. Job Name is the full name, and is intended as a human-readable field.

2. Create some categories

Categories are used to group tools by type, and there is only one by default, "Uncategorized". For example, you might have a category called "Cordless Drills" and another called "Ladders". This helps with reporting and filtering. Be as specific as you like, but keep in mind that each tool can only possess

Categories use the "Name" field, although have a prefix value as well. This is for the ToolId field on the tool. If a tool has an ID with an category prefix, it will automatically be assigned to that category. If the category is changed, but the prefix is not updated, it will revert to the category that matches the prefix.

3. Create some tools

Tools are the bread and butter of TolKeeper, and are going to take the longest to get entered. There are two ways to enter tools, either through the "Create Tool" button available on any page (once you're logged in.) The other method is via batch tool entry. This saves time by letting you automatically increment unique fields like barcode, serial number, and tool-ID.

When you've entered the unique values and selected which fields to auto-increment, pressing the + will create the next tool sequentially. This also locks the initial unique value form fields, as they are used to calculate the values that follow.
